1. WHO WE ARE (DATA CONTROLLERS)

MOVE™ operates through two legally distinct entities depending on the nature of the activity:

1. Minds Rewired Ltd (United Kingdom)

  • Responsible for: Online and international MOVE™ programs, intellectual property management, digital communications, and payment processing for international/online services

  • Company No.: 12266609

  • Jurisdiction: UK GDPR & Data Protection Act 2018

2. Mangroves Consultancy, Auctions, and Exhibitions (State of Qatar)

  • Responsible for: Hosting and operating all in-person MOVE™ events inside Qatar, processing Qatar-based registrations and payments, and meeting Qatari regulatory requirements

  • Jurisdiction: Qatari data protection laws

3. The Trainer — Dr. Aisha Alsheikh

  • Facilitates in-person Qatar events under Mangroves Consultancy

  • Facilitates online/international programs under Minds Rewired Ltd

  • Does NOT independently process payments for Qatar-based programs

Depending on the service you use, your data may be handled by one or both entities above.

2. INFORMATION WE COLLECT

We may collect the following categories of information:

A. Personal Identification Information

  • Full name

  • Email address

  • Phone number

  • Gender (for curated gatherings such as Queens or Elite Membership)

  • Country of residence

B. Registration & Program Information

  • Membership type

  • Attendance records

  • Payment confirmations

  • Session preferences or learning goals

C. Emotional-Safety & Reflection Data (voluntarily shared)
This may include personal reflections or written exercises.

Important: This data is:

  • Treated as confidential

  • Not anonymous (due to interpersonal program context)

  • Not used outside the specific program

  • Deleted after the retention period

D. Technical Data (Automatically Collected)

  • IP address

  • Browser and device type

  • Cookies and analytics data

E. Payment Information

  • Qatar events → processed by Mangroves Consultancy using Sadad payment gateway

  • International/online programs → processed via Stripe under Minds Rewired Ltd

MOVE™ does not store full credit card numbers.

3. HOW WE USE YOUR INFORMATION

We use your information to:

A. Deliver MOVE™ Programs

  • Register you for events, memberships, and programs

  • Provide program materials

  • Support your learning journey

B. Maintain Community Safety

  • Ensure participant conduct aligns with community standards

  • Support emotional safety of group environments

  • Send confirmations, reminders, updates, and invitations

D. Legal & Operational Requirements

  • Comply with UK and Qatari legal obligations

  • Maintain accurate financial and registration records

E. Analytics & Improvement

  • Improve program design and website functionality

We never sell your personal data.

4. LEGAL BASIS FOR PROCESSING (UK GDPR)

For UK/EEA and international programs, data is processed under:

  • Contract Performance: To provide the services you request

  • Legitimate Interests: For program improvements, security, and communications

  • Consent: For emotional-reflection data and optional marketing communications

  • Legal Obligation: To comply with UK/Qatar laws

For Qatar-based activities, processing follows Qatari data protection law and your participation agreement.

5. HOW WE PROTECT YOUR DATA

We implement:

  • SSL encryption for data transmission

  • Secure, password-protected systems

  • Limited staff access based on role requirements

  • Regular compliance reviews

Systems we use include:

  • Notion (secure workspace management)

  • Systeme.io (website, email automation, program delivery)

  • Google Workspace / Google Drive (secure storage, email)

  • Calendly (secure scheduling)

  • WAPlus (WhatsApp communication management)

Security Note: While we implement robust security measures, no digital system can guarantee absolute security. You acknowledge this inherent risk in using online services.

6. DATA BREACH PROCEDURE

If a personal data breach occurs, we will:

  1. Notify affected users without undue delay (where required by law)

  2. Inform relevant authorities within required timeframes:

    • UK: Information Commissioner's Office (ICO) within 72 hours for GDPR breaches

    • Qatar: Relevant Qatari regulatory bodies as required by local law

  3. Investigate and take immediate steps to contain and mitigate the breach

7. SHARING YOUR INFORMATION

We only share your data with:

A. Mangroves Consultancy (Qatar)
For Qatar-based events and legal compliance.

B. Minds Rewired Ltd (UK)
For international/online program delivery and administration.

C. Approved Service Providers (Current as of [Current Month, Year])

  • Stripe: Payment processing for international/online programs (used by Minds Rewired Ltd (UK))

  • Sadad: Payment gateway for Qatar-based events (used by Mangroves Consultancy (Qatar))

  • Systeme.io: Website, CRM, and program delivery platform (used by MOVE™)

  • Notion: Project management and internal documentation (used by MOVE™)

  • Google Workspace: Email, document storage, and collaboration (used by MOVE™)

  • Calendly: Appointment scheduling (used by MOVE™)

  • WAPlus: WhatsApp communication management (used by MOVE™)

All providers operate under Data Processing Agreements that comply with applicable data protection laws. For Qatar-based payments, Mangroves Consultancy ensures Sadad's compliance with Qatari financial regulations.

D. Legal Requirements
We may disclose information when required by law, regulatory authorities, or to protect rights and safety.

8. INTERNATIONAL DATA TRANSFERS

Because MOVE™ operates internationally:

  • Data for international programs may be stored in the UK

  • Qatar data may be stored in accordance with Qatari regulations

Transfers between jurisdictions follow applicable legal safeguards, including Standard Contractual Clauses (SCCs) under GDPR where required.

9. DATA RETENTION

We retain different categories of data for specific periods:

  • Registration Data: 7 years from last activity

  • Payment Records: 7 years (financial regulations)

  • Communication Records: 3 years from last contact

  • Emotional-Safety / Reflection Notes: 90 days after program completion

  • Technical Log Data: 12 months

After retention periods expire, data is securely deleted or anonymized.

10. YOUR RIGHTS

Depending on your jurisdiction, you may have the right to:

  • Access your personal data

  • Rectification of inaccurate data

  • Erasure ("right to be forgotten")

  • Restrict processing

  • Object to processing

  • Data portability

  • Withdraw consent at any time (where processing is based on consent)

  • File a complaint with supervisory authorities

MOVE™ programs are designed for adults (18+). Youth programs—when offered—require:

We don't knowingly collect data from minors without proper consent.

13. THIRD-PARTY LINKS

Our website may link to external sites (partner organizations, payment processors, etc.). We're not responsible for their privacy practices.
